As a part of our policy to improve employee relations at all levels, Team Briefing committees have been instituted in all operating divisions of the company. The team size is approximately 4 to 6 employees depending on the total employee strength of the division and has equal representation of Bahraini and expatriate staff of different grades and positions.

The team acts as a vehicle for cascading business plans, discussing current and future department plans, promoting the company Vision and Mission and involving and empowering staff in the decision making process.  It is also a forum for identifying, discussing and resolving employee concerns.

Team briefing sessions cover team building aspects including the opportunity for cross- department representation, the opportunity to present individual issues informally and to understand many management initiatives that are initially directed at management and need to be passed down.  Team briefings have been requested by the Union and are strongly supported by senior management including the Chairman, as a means of improving the communication within the company.  In recognition of this MD Ms. Mona Almoayyed, CE Mr. Alan Guest, Senior Group HR Manager Ms. Rosemary or Quality Manager Mr. Sonu Duggal regularly attend the Team briefings on an ad hoc basis.

Quality Management Department act as a facilitator for such meetings and coordinates with support service departments for resolution / feedback on the issues raised in such meetings.

Team Briefings Standard Operating Procedure

Objective: To enable regularized meetings between employees and management.

Scope: To be set up in all operating divisions. Larger divisions can have separate teams in their respective departments e.g. sales, service and parts. Smaller divisions can have one team representing all operations.

Purpose: The purpose of Team Briefing is to

  1. provide a forum for staff consultation to ensure a sense of ownership amongst employees.

  2. to cascade business plans and ensure the company’s Vision and Mission statement are understood and implemented.

  3. involve and empower staff in decision making.

  4. improve employee relations at all levels by identifying, discussing and resolving employee issues.

  5. seek ideas and opinions from the people on business or staff issues to ensure their continued understanding of the focus being placed by the company on continual improvement and employee’s involvement in making suggestions for such improvements.

Procedure:

  1. The team size should be approximately 4 to 6 employees depending on the staff strength of the respective divisions.

  2. The team should have equal representation of Bahraini and Expatriate staff and representation from different grades / positions.

  3. The team should meet on a one monthly basis. The minutes of the meeting shall be recorded and forwarded to respective General Managers / Head of the department for action with a copy to Quality Section.

  4. The respective manager of the department (or his deputy if he is unavailable) should attend the monthly meetings.

  5. The team members should be rotated on an annual basis or replaced should a committee member resign from the company.

  6. This forum should become the vehicle whereby all related staff issues are discussed, including health and safety, training, employee motivation and recognition and information about the business and new plans.

  7. A representative from HR may be asked to attend the meeting based on the topics under discussion.
